How Ideentrix Private Limited collects, safeguards, and handles your information across our website, interactive scoping tools, and project discovery engagements.
1. Introduction and scope
This Privacy Policy explains how Ideentrix Private Limited ("Ideentrix", "we", "our", or "us"), a private limited company incorporated under the laws of India, with its registered office at 3 Mangal Baug, Opposite Jayantilal Park, Ambli - Bopal Road, Ahmedabad - 380058, Gujarat, India, collects and processes personal and business information.
This policy applies to all visitors to our website (https://www.ideentrix.com), prospective clients using our Project Configurator or inquiry forms, and individuals interacting with our solutions engineering team.
2. Information we collect
We believe in data minimization. We only collect information that is strictly necessary to evaluate your project scope, provide technical discovery, and communicate with you:
- Direct Inquiries: When you submit a contact request or scoping inquiry, we collect your full name, work email address, company name, role, phone number (optional), organization type, country or region, headcount, and the project description or operational friction notes you share.
- Project Configurator Selections: When you use our interactive project scoping tool, we capture the selected module codes, automation candidates, hosting preferences, and indicative timeline parameters you configure.
- Technical Telemetry: When you navigate our website, our web servers log standard HTTP request metadata (IP address, user-agent, browser language, referring website, campaign tags in the link, timestamp, and requested paths) and the buttons you click, such as "Book a consultation". We use this to diagnose errors, block abusive traffic, and count visits and popular pages. This log stays on our own server, is not shared with any analytics company, and is deleted after 90 days. Visitors are counted with a daily one-way code made from the IP address and browser, not with a cookie.
3. How we use your information
We process the information we collect solely for legitimate technical and commercial purposes:
- To evaluate your technical requirements and prepare custom discovery memos or architectural proposals.
- To schedule discovery and architecture consultation calls with our solutions engineering team.
- To prepare and execute bilateral Non-Disclosure Agreements (NDAs) prior to detailed data schema reviews.
- To diagnose technical server errors and maintain the security and integrity of our web infrastructure.
We never sell, monetize, or rent your personal or business information to any third-party marketing networks or data brokers.
4. Confidentiality and mutual NDAs
Because we specialize in core business systems (ERP, CRM, accounting, and proprietary operational workflows), we understand that operational data, database schemas, and business metrics are strictly confidential. All discovery conversations, proprietary process maps, and shared technical specifications are treated with strict confidentiality and, upon request, governed by our mutual Non-Disclosure Agreement prior to discussion.
5. Cookies and local storage
Our website utilizes minimal, privacy-first technical mechanisms:
- Theme Preference: We store your chosen display theme (light or dark mode) in your browser's local storage so your visual preference persists across visits.
- Session Security: We use temporary CSRF session tokens to secure form submissions against cross-site request forgery attacks.
- We do not use third-party advertising trackers or behavioral profiling pixels.
- Visit statistics: Our own visit counts (see Technical Telemetry above) set no cookies.
When you send an inquiry, we email you a confirmation and email the details to our team.
6. Where your information is processed
Ideentrix is based in Ahmedabad, India, and works with clients in the United States, Canada, the European Union, the United Kingdom and the Middle East. Information you submit is stored and accessed by our team in India, wherever you are located. Access is limited to the people who need it, and data travels over encrypted connections.
For visitors in the European Economic Area and the United Kingdom: India does not have an adequacy decision from the European Commission or the UK government. Where a client engagement involves personal data from those regions, we agree the transfer safeguards in the contract, normally the Standard Contractual Clauses (or the UK addendum).
7. Your rights
Wherever you are, you can ask us to:
- Confirm whether we hold personal information about you, and give you a copy.
- Correct information that is wrong or out of date.
- Delete your personal information, unless the law requires us to keep it.

Send requests to info@ideentrix.com. We may ask you to confirm your identity first, and we answer within the time the law that applies to you allows.
8. Region-specific information
- European Union, EEA and United Kingdom (GDPR and UK GDPR): we are the controller of the information described here. We rely on legitimate interests to answer inquiries, keep the site secure and count visits, and on steps taken at your request before a contract when you ask for a proposal. You also have the rights to data portability and to restrict processing, and you may complain to your local data protection authority.
- United States (including the California Consumer Privacy Act as amended by the CPRA, and similar state laws): we do not sell personal information and do not share it for cross-context behavioral advertising. You have the rights to know, delete and correct described above, and we will not treat you differently for using them.
- Canada (PIPEDA and provincial laws): you can access and correct your information as described above. If you are not satisfied with our answer, you may contact the Office of the Privacy Commissioner of Canada.
- Middle East (including the UAE Federal Decree-Law No. 45 of 2021, the Saudi Personal Data Protection Law and Qatar Law No. 13 of 2016): you have the access, correction and deletion rights the applicable law gives you, and you can use them through the contact details below.

Inquiry records are kept while we are discussing or delivering work with you and for as long as legal, tax and accounting rules require afterwards. Server request logs are deleted after 90 days.
